Tax MD, LLC is a tax and accounting practice at 72A Peabody Road, Vacaville, CA 95687. This policy explains how we handle information you give us through this website and as a client.
Information we collect
- Information you submit through the contact form on this site: your name, email, phone (if provided), and your message.
- Documents and tax information you provide when you become a client. These are handled through our secure portal and our professional engagement (see "Third parties" and "How we protect your information" below).
- Appointment information when you book through our scheduling provider.
- Basic server logs automatically generated when you visit this site (IP address, browser type, pages viewed, timestamps), used only for security and to keep the site running.
How we use it
- To respond to your message, schedule appointments, and provide tax and accounting services.
- To prepare and file your returns and to meet our professional and legal obligations.
- We use your information only to serve you, never for advertising.
What we don't do
- We don't sell or rent your personal information.
- We don't share it with third parties for their own marketing.
- We don't run third-party advertising or analytics trackers on this site. No tracking cookies are set, and no third-party tracking scripts run when you load these pages.
Cookies & tracking
This website does not use advertising cookies, analytics cookies, or third-party tracking pixels. When you submit the contact form, a privacy-friendly security check (Cloudflare Turnstile) loads only at that point to confirm you're human. It is used only to stop spam, not to track you.
How we protect your information
Please do not send sensitive tax information (such as Social Security numbers or full financial documents) through the website contact form or by regular email. To share documents securely, use our secure document upload or bring them to the office. As tax professionals, we handle client information confidentially and in accordance with applicable law and IRS standards (including Enrolled Agent professional responsibilities under Treasury Circular 230).
Third parties
- ShareFile (Citrix): our secure client document portal, used to send and receive tax documents. Governed by its own privacy and security terms.
- Square: our online appointment scheduling provider. When you book, you do so on Square's platform under its privacy policy.
- Cloudflare: hosts this website and provides the spam protection on our contact form.
- Our contact-form service: messages you send through this site are delivered to us by email through a secure form processor operated by our website provider.
Retention
Contact-form messages that don't lead to an engagement are deleted within 12 months. Client tax and accounting records are retained for as long as needed to serve you and for the periods required by law and professional standards. You can request earlier deletion of non-required information at any time.
Your rights (California)
You have the right to know what personal information we have about you, to request that we delete it, and to request that we correct it. To make a request, call (707) 446-8292 or email admin@yourtaxmd.com, and we'll respond within 45 days as required by California law. We will not discriminate against you for exercising these rights.
